Step 1 · The Agreement

Terms & Conditions

By submitting this digital application, you (the Exhibitor) enter into a binding agreement with Wellness Expo South Africa (WESA), the Organizer of Holistic Expo Plett. Please read the terms below, then tick to agree.

Digital Marketing Collaboration

The Organizer will provide Exhibitors with digital marketing materials (images and text) to promote their participation. These may be adapted to include the Exhibitor's own branding or logo.

The Exhibitor agrees to actively assist in promoting the event through reasonable, good-faith efforts — as a guideline, roughly two to three times per month leading up to the event. This may include:

  • Re-sharing content from the official Expo social accounts (Facebook & Instagram).
  • Creating their own posts, stories or reels about taking part.
  • Mentioning the event in newsletters, emails or WhatsApp messages to clients.
  • Tagging or mentioning the official Expo accounts when sharing related content.

These examples are guidance, not restrictions — the aim is cooperative, mutually beneficial promotion of Holistic Expo Plett.

Intellectual Property & Branding
  • The Exhibitor grants the Organizer permission to use their logos and booth images for promotional purposes.
  • The Organizer will not alter or misuse the Exhibitor's intellectual property.
  • The Exhibitor warrants that their products/services do not infringe any intellectual property rights.
Booth Assignment & Use
  • Available booth sizes: 2m × 2m to 3m × 3m for products & services, and 2m × 3m for the treatment zone only.
  • Booth location and number are assigned by the Organizer upon approval and receipt of proof of payment; details will be communicated in due time.
  • Use is restricted to holistic and wellness-related products/services.
  • Subletting or transferring booth space is prohibited without prior written consent.
Exhibitor Booth Obligations
  • Occupy the allocated booth and display products/services in a professional, aesthetically pleasing manner.
  • Keep the booth fully staffed and operational during event hours.
  • Clean your own booth space after breakdown.
  • Provide all necessary equipment — card machine, extension cords, plugs, lights, carpets, etc.
Compliance & Conduct

The Exhibitor shall:

  • Comply with applicable laws, venue rules and safety protocols.
  • Maintain a professional presence and courteous conduct.
  • Ensure booth staff follow all event policies.
  • Comply with all South African laws and regulations relating to their products/services, and be able to produce, on request, all necessary certifications, licenses and permits.
Fees & Payment Terms
  • Booth fee for the two expo days:
    • 2m × 2m — R1 500 (products & services)
    • 3m × 3m — R1 800 (products & services)
    • 2m × 3m — R1 600 (therapists, treatment zone only)
  • Payment due: by no later than 14 days from the date of notification of approval as an exhibitor.
  • Payment method: bank transfer (EFT) to the account below, using your business name as the reference.

Proof of payment to be sent to expo.plettenbergbay@gmail.com with “POP” in the subject line. Late payments may result in loss of booth reservation.

Booth fee includes:

  • A platform for promotion and growth.
  • Rental of your chosen space for 1 setup day and 2 expo days.
  • Branding and marketing through WESA.
  • Visibility on the WESA member directory.
  • A 3-month Wellness Expo Network membership.
Cancellation & Refunds
  • Cancellations 14 days before the event: 50% refund.
  • Within 13 days of the event: no refund.
  • If the Organizer cancels due to unforeseen circumstances, a full refund will be provided.
Termination & Liability

Termination. This Agreement may be terminated by mutual written consent, or by the Organizer if the Exhibitor breaches a material term. Indemnity and IP obligations survive termination. Neither party is liable for failure to perform due to events beyond reasonable control (natural disasters, government restrictions, pandemics, etc.).

Liability & indemnification. The Organizer shall not be liable for any damages or losses incurred by the Exhibitor. The Exhibitor shall indemnify and hold harmless the Organizer against any claims or damages.

Privacy (POPIA) & Governing Law

The Organizer complies with the Protection of Personal Information Act (POPIA). All personal information collected is protected, used only for expo-related purposes, and not shared with third parties without consent.

This Agreement is governed by the laws of the Republic of South Africa, with jurisdiction in Cape Town, Western Cape.

Step 3 · Your Booth

Booth & Preferences

Gazebos are welcome but not compulsory. Tables (1800mm × 770mm) and chairs are available on request.

To add more fun and engagement, we're launching a Table Flag Raffle Initiative. Exhibitors provide one or two raffle prize(s) for the draw and create a flag for their booth. Our MC runs a live draw, and the exhibitor whose prize is drawn raises their flag — the winner then collects from that booth. Winners not on site during the draw are notified digitally. It's a great way to get attendees exploring the expo and interacting with exhibitors — a win-win!
